Password protect a PDF

Lock confidential documents with an open password before they leave your organization. Processed on Anonimatum's own EU servers and never stored.

Payslips, medical reports and draft agreements usually leave an organization as email attachments. One wrong autocomplete in the To field, or a thread forwarded without a second look, and the PDF opens for whoever receives it. An open password is a simple safeguard: the file can still travel, but nobody can read it without the password you chose.

Ironically, many people protect a sensitive file by uploading it to whichever online tool comes up first in a search. With Anonimatum, the PDF is handled on our own servers in the EU (OVHcloud, France and Poland) and is never passed to third-party services or external APIs. It is processed in memory, returned immediately and not stored; the audit log keeps only its SHA-256 fingerprint.

A password secures the delivery, but it is no substitute for data minimization. If the recipient does not need names, ID numbers or bank details, anonymize or pseudonymize first and then protect the result. Both steps happen on the same platform, under your team's account, backed by Politeia Soft's ENS (Spanish National Security Framework) medium-category certification and a GDPR-oriented design.

Security

Your PDFs never leave our servers in the EU

The same safeguards as the anonymizer, also for merging, converting or compressing.

  • Our own servers in the EU

Every tool runs on Anonimatum servers in France and Poland (OVHcloud). No third-party services or APIs: LibreOffice and OCR run on our own server.

  • We don’t keep the document

The PDF is processed in memory and returned straight away. Conversions use a temporary folder that is deleted when they finish.

  • History under your control

Group activity (operation and file name) is deleted according to the retention your administrator sets, from 1 to 365 days. The audit log only keeps the SHA-256 fingerprint.

  • Access with your account

You sign in with your Anonimatum account, with two-step verification, and each use is deducted from your plan’s PDF tools quota.

  • ENS Medium category

Politeia Soft is certified under Spain’s National Security Framework (ENS), Medium category, and the platform is designed for the GDPR.

  • Next to the anonymizer

Merge, reorder or convert, then anonymize or pseudonymize the result on the same platform before sharing it.

Protect PDF FAQ

What kind of protection does it add?

An open password. Anyone who tries to open the PDF has to enter it first. It is the right safeguard when a file travels by email, through a file-transfer service or on a USB drive.

Where is the PDF processed, and what is kept?

On Anonimatum's own servers in the EU (OVHcloud, France and Poland), with no third-party services. The file is processed in memory and returned straight away; it is not stored. The group history records the operation and the file name, and the audit log keeps only a SHA-256 fingerprint.

What if I forget the password?

Anonimatum does not store your document and does not crack passwords, so we cannot open it for you. Save the password somewhere safe, such as a password manager, before you send the file.

Do I need an account? Does it use my quota?

Yes. The PDF tools live inside the Anonimatum app and require an account, with two-step verification available. Each use counts towards your plan's PDF tools quota.

How should I share the password with the recipient?

Through a different channel from the PDF itself. If you email the file, give the password by phone or text message. Sending both in the same email defeats most of the purpose.

Lock down your next confidential send

Add a password on European servers with no third parties involved, and anonymize first when the document calls for it.
