Anonymize payslips before sending them to auditors, advisers or a tribunal

Payslips leave the company more often than people think: a sample for the statutory auditor, the file a pay consultant asks for, evidence in an equal-pay claim or a gender pay gap review. Each of those has a legitimate purpose, yet the recipient almost never needs to know whose payslip each one is.

In Spain, plans are arranged with our sales team.

Every payslip packs the employee's name, ID number, social security number, job grade, start date and bank account onto one page. Anonimatum finds them with its own AI and with patterns: Spanish ID and IBAN patterns are built in, and the social security number is captured with a custom pattern or a word set matching your format, wherever your payroll is run.

Salary is the key decision. In an audit or a pay gap analysis the amounts are the very thing being examined and must stay visible; in other cases they should be hidden. You can do either, including in payroll exports to Excel, where you decide column by column what is hidden and what stays.

How to anonymize a batch of payslips

  1. 1

    Collect the period's payslips

A ZIP of PDF payslips, or the payroll system's export in Excel or ODS.

  2. 2

    Set up the identifiers

GDPR anonymization for names, ID and IBAN patterns, and a custom pattern for the social security number format.

  3. 3

    Decide what happens to amounts

Leave them out of the selection if the recipient is analysing pay, or switch on amount detection to hide earnings and net pay.

  4. 4

    Run the batch and spot-check

The server processes every payslip with the same settings; you review a few in the preview and download the resulting ZIP.

Fictitious document

Before and after: a payslip for an audit

Fictitious payslip from an invented Spanish company, prepared for an auditor who needs pay items and amounts but not the employee.

Employer: Distribuciones del Valle, S.A. · Period: March 2026

Employee: Sonia Pastor Requena · ID 12345678Z · Social security no. 00 00000000 00

Role: Logistics technician · Grade 2 · Start date: 14/09/2017

Base salary: €1,720.00 · Transport allowance: €95.00 · Role supplement: €210.00

Deductions: social security 4.70% · income tax withholding 13.00%

Net pay: €1,618.42

Paid to account: ES00 0000 0000 0000 0000 0000

After · Payslip (fictitious document)

Employer: Distribuciones del Valle, S.A. · Period: March 2026

Employee: (redacted) · ID (redacted) · Social security no. (redacted)

Role: Logistics technician · Grade 2 · Start date: (redacted)

Base salary: €1,720.00 · Transport allowance: €95.00 · Role supplement: €210.00

Deductions: social security 4.70% · income tax withholding 13.00%

Net pay: €1,618.42

Paid to account: (redacted)

Pay items, rates and amounts stay visible because that is what the auditor checks; the exact start date is hidden because, combined with the role, it could point to one person.

What makes payslips different

Identifiers with no universal format

Social security numbers and internal employee codes are not predefined: you define them once as a pattern or word set and they apply to the whole batch.

Combinations that identify

In a small workforce, grade plus start date plus workplace can single out one person even with the name hidden. Reviewing before applying lets you hide those combinations too.

Excel handled as Excel

The payroll export is anonymized in its native format, keeping rows and columns so the auditor can still filter and total.

Proportional amounts if you pseudonymize

The «Research» profile keeps the ratios between amounts: relative differences between salaries can still be analysed without revealing real figures.

FAQ: anonymizing payslips

Is the social security number detected automatically?

There is no generic pattern for it. You add a custom pattern following your number format, or a word set, and it is saved for future batches.

Can I anonymize payslips for the whole workforce at once?

Yes. Upload a ZIP of the period's PDFs or several files at once; the batch runs on the server with one configuration and you get a ZIP with all results.

What if the recipient must link several payslips of the same employee?

Use pseudonymization: each employee gets the same pseudonym on every payslip, and the equivalence map can reverse it. If you only redact, the auditor cannot follow one person across months.

Is it suitable for payslips filed in an employment case?

Yes, for example when colleagues' payslips are produced as comparators without revealing who they are. Which details must stay visible for the evidence is for the lawyer or the controller to decide.

Is PDF metadata removed?

Yes. Anonymization removes document metadata, which on system-generated payslips can include the user or system that produced them.
