Anonymize HR records without slowing down HR processes

HR documents are full of people: the candidate, the reviewer, the colleague who raised a concern, the witness in an investigation, the manager who signed off a sanction. Each process means hiding someone different: the selection panel should not see a candidate's name or photo, and the external investigator should not know who made the report.

In Spain, plans are arranged with our sales team.

Anonimatum works in server-side batches, so a recruitment round with two hundred CVs is processed as one batch with one set of rules. The whitelist keeps visible the names that should appear, such as your company or the case handler, and photos are covered with a visual zone or the «Images and logos» option.

Subject access requests are the most delicate case: the employee is entitled to a copy of their data, but that copy must not expose other people's. Emails, minutes and appraisal reports go through the same review before release, hiding everyone else and leaving visible everything that belongs to the requester.

How to anonymize HR documents, process by process

  1. 1

    Group documents by process

A ZIP of CVs for one vacancy, or the folder of an internal investigation with the report, statements and findings.

  2. 2

    Decide who you are protecting

In recruitment, the candidate; in a whistleblowing case, the reporter and witnesses; in an access request, everyone except the requester, whom you whitelist.

  3. 3

    Cover what is not text

CV photos, signatures on minutes and screenshots submitted as evidence, with visual zones or the «Images and logos» option.

  4. 4

    Review and release

Check the preview for indirect mentions, such as unique job titles or «the night-shift supervisor», then download the batch.

Fictitious document

Person concerned: Javier Robles Andrade, warehouse supervisor.

Witness: Pablo Ruiz Navas states he heard repeated derogatory remarks during May.

Witness contact: pablo.ruiz@company-example.com · 600 000 000

Facts: three screenshots of messages with offensive language in the team chat are attached.

Investigating body: Equality Committee · Date of minutes: 2 June 2026

After · Internal investigation minutes (fictitious document)

Case INV-2026-014 · Internal reporting channel

Reporting person: (redacted), (redacted).

Person concerned: (redacted), warehouse supervisor.

Witness: (redacted) states he heard repeated derogatory remarks during May.

Witness contact: (redacted) · (redacted)

Facts: three screenshots of messages with offensive language in the team chat are attached.

Investigating body: Equality Committee · Date of minutes: 2 June 2026

The reporter's job and shift are hidden too, as in a small team they would identify her, while the investigating body stays visible.

Why HR needs more than a black marker

Genuinely blind shortlisting

Name, photo, age, address and email removed before the panel sees the CV; education and experience untouched. With batches, every applicant gets the same treatment.

Protecting the reporting person

The identity of whoever raises a concern must stay confidential. Beyond the name, hide their role, shift and any detail of the account only they could know.

Access copies without other people's data

When answering a subject access request, the whitelist keeps the requester visible and hides colleagues, managers and customers who appear in the same emails and reports.

Office formats as they are

Appraisals in Word, HR dashboards in Excel or results decks in PowerPoint are anonymized in their original format, without converting them to PDF.

FAQ: anonymizing HR records

Is the CV photo detected automatically?

You can cover it with the «Images and logos» AI option or a manually drawn zone. Check the preview, because every CV layout puts the photo somewhere different.

Can I anonymize all the CVs for a vacancy at once?

Yes. Upload a ZIP with the PDFs and Word files and they are processed on the server with the same settings. You do not need to keep the browser open while the batch finishes.

How do I answer an access request without exposing other employees?

Whitelist the requester and let the other names, emails and phone numbers be hidden. Then review indirect references, because a unique job title identifies someone as well as a name.

Can I send an investigation to an outside law firm?

Yes. If the firm needs to tell people apart without knowing who they are, pseudonymization gives them consistent fictitious names across all documents, and the map stays with the company.

Are employee documents used to train models?

No. Documents are processed only to anonymize them, on EU servers with Anonimatum's own models and no external large language model APIs, and are deleted after processing.

Does your HR team share files with third parties?

We will show you how to handle recruitment, investigations and access requests using fictitious documents similar to yours.
